How to import readings into Merit Aktiva

Export a month's readings in the Merit Aktiva format and import them into Merit's periodic invoices, so that each apartment's invoice has what its meters counted.

Merit Aktiva is an accounting program with a solution for apartment associations: each apartment has a periodic invoice, whose items include its meters, e.g. cold water. Every month, Merit takes the meters' readings from an Excel file, works out how much each apartment used since the reading before, and makes the invoices. ky24 exports that file.

Before the first export

In Merit Aktiva

  • Readings on periodic invoices are on in companies added as an apartment association. In others, turn them on in Seadistused → Ettevõtte andmed: Perioodilistel arvetel näitude sisestamine.
  • Each apartment is a customer with a periodic invoice, with an item for each of its meters. Each meter needs an item of its own: two cold water meters are two items, e.g. KV1 and KV2.
  • The first time, enter each meter's starting reading in Merit: the file only has the month's readings. After that, each month's reading is where the next one starts.

See Merit's own guide for apartment associations (in Estonian).

In ky24

  1. Make each meter's alias its item's code. Edit the meter in the building's or apartment's Meters and set its Alias to the code of its item in Merit, e.g. KV1. Aliases are letters, digits and _, starting with a letter or _: if an item's code is something else, e.g. KV-1 or 101, change it in Merit too. The file leaves out meters without an alias. If your own export formats use the old alias, e.g. {{ cw }}, change them to the new one.
  2. Check the apartments' addresses. Merit finds each apartment by its periodic invoice's address, exactly. In ky24, an apartment's address is the building's address up to the first comma, a hyphen and the apartment's number: Lai 12-5 for apartment 5 of "Lai 12, Tartu". When Merit has another one, e.g. Lai 12-05, edit the apartment and fill in its Address as Merit has it. To see Merit's addresses, save its list of periodic invoices to Excel.

Export the readings

  1. Open Export readings and choose the building.
  2. Choose the format Merit Aktiva (Excel).
  3. Choose the month: Merit imports one month at a time.
  4. Click Download.

The file has the columns Aadress, Artikkel and Lõppnäit, as Merit needs them: a row for each meter of each apartment that was read that month.

Exporting, in any format, checks the readings as Check on the Readings page does, and lists each problem under the Download button, with a link to its month's readings. Some readings can't go in this file as they are: they're marked Not in the file, and readings that weren't entered are missing too:

WhyWhat to do
Not readEnter the reading in ky24 and export again, or enter it in Merit by hand.
The meter was replacedMerit would count from the old meter's reading up to the new one's. Enter what both meters counted, which the list shows, in Merit by hand.
Lower than the month before'sMerit refuses it. Fix the reading, or enter the replacement if the meter was replaced, and export again.
No aliasGive the meter its item's code as its alias (see above) and export again.

You can find them before you export, on the Readings page: Check highlights the readings that weren't read or are lower than the month before's, and those that look wrong otherwise, e.g. with much more used than usual.

Import the file into Merit Aktiva

  1. In Merit, open Müük → Perioodilised arved and click the button for entering readings.
  2. Choose a meter's item, e.g. KV1, and import the file: Merit takes that item's readings from it, for each apartment whose address it finds.
  3. Check the readings and confirm them.
  4. Do the same for each of the meters' items: the one file has all of them.

Then make the month's invoices from the periodic invoices, as usual.
